The Role of a Reservation Executive is to look after the Particular Hotel that has been allotted to them.
The Responsibilities of a reservation executive is Checking Mails and maintaining the inventory sheet of rooms, maintaining proper availability of rooms on channel manager, Internal communications like Co-ordination with Hotel Colleagues about upcoming bookings from OTA’s and other bookings, External communication with Travel agents or Direct Customers.
· The very First priority is to Check the emails.
· Emails includes
- Bookings from OTA’s (Online Travel Agents) like; MakeMyTrip, Goibibo, Agoda, Cleartrip, Yatra / Travelguru, Booking.com, etc..
- Bookings from our own Booking engine/website. Booking engine also handles our connection with other OTA.
- Inquiries from Travel Agents, we have to revert with the rates and availability of rooms as per their requirement.
· To deal efficiently and politely with all telephone, email, internet and ‘in person’ enquiries.
· Try to generate all types of inquiries into business inquiries.
· To maintain all the details of customer like number, email, payment details and their special request in booking sheet and update records in inventory sheet accordingly.
· Creates and maintains reservation records-usually by date of arrival and alphabetical listing prepares letters of confirmation and promptly processes any cancellations and modifications.
· Knows the selling status, rates, and benefits of all packages plans.
- Makes sure that files are kept up to date.
· Always maintains a clean and neat appearance and work area at all times.
- Open and close the availability as and when required of hotel in all the OTA and in channel manager also
- Configuring rates on the hotels property management system.
JOB DESCRIPTION

· Understand customers’ requirements and provide accurate, comprehensive information.
· Coordinate with the Support Team for any assistance required in order to provide complete information to customer and in booking completion.
· Promote sale of the products for domestic travel.
· Follow up on enquiries rigorously to ensure maximum conversions.
· Coordinate with the Support Team to manage bookings.
· Maintain booking Inventory/online booking portal Inventory.
· To create/maintain excellent relationships with clients and be able to generate business.
Payment Collection and handover to Accounts/Head Office.
· Reporting of Day to day working to Manager or Business head on daily bases.
· Any other responsibility as and when assigned by the business head or manager.
Competency Requirements:
· Good communication skill in English (both verbal and written) , Gujarati & Hindi
· Negotiating/ influence abilities
Other requirement:
· Sales-Centric Attitude/ Business sense
· Well versed with MS- Word, Excel and Inter net browsing
· Good personality, willingness for work hard & enthusiastic
· Knowledge of Tourism industry, Tourist places, Indian Geography, etc
· Awareness of Hotel operations, flight booking systems, etc. as required for travel agency
